How to Calculate and Record Units Sold Quantity and Track It in the General Ledger as Statistical Information in Dynamics 365 Finance and Operations

Tracking units sold as statistical information in the General Ledger is a smart move if you want operational insights without your financials throwing a fit. In Dynamics 365 Finance and Operations (D365FO), you’ve got options—sales orders, charge codes, and a little General Ledger magic. Here’s how to track units sold as statistical information without breaking a sweat (or the bank).

Step 1: Calculate Units Sold Quantity

First, you need to know how many units you’ve sold. Head to Accounts receivable > Sales orders > All sales orders, open a sales order, and peek at the Line details tab. There’s your quantity sold, staring you in the face. Got a bigger operation? Query the Sales order line table or export posted invoice data to tally up the total.

Step 2: Set Up Statistical Accounts Like a Pro

To keep this data statistical (read: not messing with your profits), you’ll need statistical accounts in the General Ledger. Go to General ledger > Chart of accounts > Main accounts and whip up a new one. Call it “Units Sold – Statistical” or something equally clever. Set the Main account type to Profit and loss and give it a number like “S90010.” You’ll also need an offset account—“S90011 – Statistical Offset”—because balance is life.

Add both new accounts to an Account structure and make sure that structure is selected in the Ledger. I like creating a unique Account structure specifically for Statistical accounts.

Add Financial dimension segments if you need to know statistical sales quantities for those dimensions. When the statistical entry is generated from a Sales order line using a Charge code (explained later), it will inherit the Financial dimension values from the line.

Step 3: Charge Codes and Auto-Charges – Work Smarter, Not Harder

Why manually slog through journals when you can let charge codes and auto-charges do the heavy lifting?  Here’s the play-by-play:

  1. Create a Charge Code – Navigate to Accounts receivable > Charges setup > Charges and create a new charge code – say, “UnitSldQty” and a Description of “Units sold quantity – Statistical.” Set the following values:
    • Debit->Type: Ledger account
    • Debit->Posting: Order fee
    • Debit->Account: S90010
    • Credit->Type: Ledger account
    • Credit->Posting: Order fee
    • Credit->Account: S90011

  2. Set Up Auto-Charges – Pop over to Accounts receivable > Charges setup > Auto-charges.
    • Add a line-level rule (select Line under Level), pick your scope (all customers, specific items – your call), enter a description, and click save.
    • Add a new line and select the “UnitSldQty” code you created earlier. It is important to set the Category to “Pcs.” so it will add the statistical quantity based on the quantity in the Sales order line.
    • Set the Charges value to match the Line quantity—like “1” per unit sold. It’s basically a mirror of your sales lines, but fancier.

  3. Watch It Work on Sales Orders – Create a sales order (Accounts receivable > Sales orders > All sales orders), add some items, and let the auto-charge kick in. Check it under Financials > View charges on the sales order line. Yep, that’s your quantity, tagged and ready. Post the invoice, and it hits the GL as a statistical entry. No extra steps, no fuss.

Step 4: Record It Manually (If You’re Into That)

Not feeling the auto-charge vibe? Fine, do it the old-school way. Go to General ledger > Journal entries > General journals, start a new journal (like “UnitsSold_Feb25”), and add a line:

  • Account: “S90010 – Units Sold – Statistical”
  • Quantity: Your total units sold, say, 500
  • Offset account: “S90011 – Statistical Offset”

Post it, and you’ve got your stats locked in. If you went the charge code route, skip this. Your invoice posting already handled it.

Step 5: Track It and Look Good Doing It

Want to see your handiwork? Hit up General ledger > Inquiries and reports > Voucher transactions and filter for “S90010.” For a fancier flex, use Financial reports (General ledger > Inquiries and reports > Financial reports). Build a report, pull in your statistical account, and maybe sprinkle in some dimensions (Business unit, Region) for extra pizzazz. You will be tracking units sold as statistical information like a boss in no time.
